Project Coordinator, HR Records (Contract) We are not accepting C2C or 1099 arrangements. About the Role We are seeking a detail-oriented Project Coordinator to support a large-scale HR records initiative. In this role, you will help prepare and organize high volumes of data for future automation into a Document Management System. You'll collaborate with cross-functional teams to ensure records are accurately staged, structured, and ready for ingestion.
This is a highly collaborative, hands-on role ideal for someone who enjoys working with data, improving processes, and helping teams operate more efficiently.
Responsibilities - Organize, stage, and structure large volumes of files within shared drives to support system automation
- Review and analyze file repositories (e.g., SharePoint, network drives) to ensure proper formatting and organization
- Apply consistent naming conventions and folder structures aligned with project standards
- Partner with project teams, Records Coordinators, and business stakeholders to prepare content for ingestion
- Provide hands-on support and practical guidance to users throughout the data preparation process
- Deliver Tier 1 support for records not successfully ingested into systems
- Build ad hoc solutions using tools such as intake forms and reporting dashboards
- Facilitate file review sessions and support teams in making decisions about their content
- Identify opportunities for process improvements within business execution workflows
- Manage multiple priorities while maintaining accuracy and attention to detail with sensitive data
Minimum Qualifications - 2+ years of experience in Business Execution, Project Coordination, Implementation, or Strategic Planning (or equivalent experience through work, education, military, or training)
- Experience working with large datasets and file management systems (e.g., shared drives, SharePoint)
- Strong organizational skills with exceptional attention to detail
- Ability to analyze data and structure information effectively
- Experience collaborating with cross-functional teams
Preferred Qualifications - Background in Records Management or Records Coordination
- Experience using:
- Excel (e.g., pivot tables, Power Query)
- Power BI or similar reporting tools
- Automation or scripting tools (e.g., PowerShell, Python)
- Strong problem-solving and analytical skills
- Experience supporting large-scale data or document management initiatives
- Ability to guide and support users with varying levels of technical proficiency

Work Environment - Virtual role (Charlotte, NC preferred; Minneapolis, MN also considered)
