Why This Role Matters

The Real Estate Administrative Assistant provides administrative and operational support across multiple departments, including land development, construction, and accounting.

This role ensures projects, transactions, and documentation are managed effectively and executed with consistency across the business.

What You’ll Do Project & Systems Administration
  • Set up, maintain, and close out projects in systems such as Procore, Buildertrend, Sage, Insightly, and Rent Manager
  • Enter, update, and validate project and transaction data
  • Maintain organized and accurate digital filing systems and project documentation
Real Estate Transactions & Land Development
  • Prepare and process purchase agreements, deeds, and related documents
  • Coordinate title work and schedule closings
  • Track lot sales and update internal systems and website information
Construction & Project Support
  • Assist with project setup and closeout for residential and commercial construction
  • Collect and manage COIs, W-9s, and subcontractor documentation
  • Prepare job packets, closing documents, and warranty materials
Accounting & Reporting Coordination
  • Organize and distribute invoices and receipts for processing
  • Perform data entry into accounting systems
  • Assist with budget data entry and KPI report tracking
  • Support accurate and timely financial documentation
Administrative Support
  • Perform general administrative tasks such as scanning, filing, and document management
  • Provide support across departments as needed

What You’ll Need
  • High school diploma or GED required
  • 1–2+ years of administrative experience (real estate, construction, or accounting support preferred)
  • Proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
  • Experience with or ability to learn systems such as Procore, Buildertrend, Sage, Insightly, QuickBooks, or Rent Manager
  • Basic understanding of accounting processes is helpful, but this is not an accounting-focused role
